How lead routing works When the chatbot captures a lead, we need to know where to send the alert and who to assign it to. Add your team members below — even if it's just you.

Important — What Access We Need & What We Can See

We connect your chatbot system to your CRM so that leads captured in chat are automatically added to your CRM pipeline. This means you don't have to manually enter new leads — they flow in automatically.

We cannot view, read, or access your existing CRM records. We only have permission to write new records. We cannot see your contacts, deals, notes, or any existing data. We are a write-only integration — we add, we don't read.

We treat all credentials and access tokens with strict confidentiality in accordance with Queensland privacy law (Privacy Act 1988 Cth and the Information Privacy Act 2009 Qld). Your credentials are stored only within the secure system build environment and are never shared with third parties.

Privacy Policy — Queensland & Australian Law

ZJ Marketing & Automation (ABN 31 438 003 490) collects and handles personal information in accordance with the Privacy Act 1988 (Cth) and the Information Privacy Act 2009 (Qld).

What we collect: Your name, business name, contact details, and the system access credentials you provide in this form (e.g. booking platform, CRM webhook URL). We also collect chat transcript data generated by your deployed system on behalf of your business.

How we use it: Solely to build, configure, and maintain your automated system. We do not sell your information, share it with third parties for marketing, or use it for any purpose beyond your service engagement.

CRM access: Where you provide a CRM webhook or API endpoint, ZJ Marketing & Automation uses this to write new lead records to your CRM only. We do not have read access to your existing CRM data and cannot view, download, or modify records already in your system.

Storage: Credentials are held within our secure system build environment only. They are not stored in personal files, spreadsheets, or any unsecured location. You may request deletion of your credentials at any time by emailing wilkes.business68@gmail.com.

Chat transcripts: All chat conversations handled by your system are captured and stored. You own this data. Transcripts are used for lead management and system improvement only.

Your rights: Under Australian and Queensland privacy law, you have the right to access, correct, or request deletion of your personal information. Contact wilkes.business68@gmail.com. If unresolved, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Access We Will Request From You

During your build, ZJ Marketing & Automation may need to request the following access. We will only ask for what is necessary for your specific package:

Booking/calendar platform — to integrate appointment booking into the chat system
Google Business Profile — for the Google Review Agent to send review requests and post AI-assisted replies
CRM webhook/API (write-only) — to automatically add new chat leads to your pipeline. We cannot read existing records.
Business phone number — if missed call follow-up is included in your package, to set up automated SMS follow-up
Email platform — if email follow-up sequences are included, to send automated messages on your behalf

You will be contacted separately for any credentials needed. No access will be taken without your explicit approval.
